Protool CRM

Designing a scalable property management platform for real estate agents managing large inventories of listings.

Role: Product Designer

Responsibilities: Interaction Design, Prototyping, Usability Testing, UI Design

Timeline: 2018 — 2022

Context

The challenge

Context

Vivanuncios is one of Mexico's largest classified marketplaces.

Real estate agencies relied on a generic CRM that lacked flexibility and was poorly adapted to their workflows.

The goal was to design a dedicated CRM tailored to the needs of real estate agents.

My Role

The challenge

Context

I joined the project during the early design phase after initial wireframes had been created.
My role focused on transforming these concepts into a functional product through prototyping, usability testing, and iterative design.

• Usability testing
• UI design
• MVP delivery

The challenge

The challenge

The challenge

Agents faced several limitations with the existing system:

• rigid workflows due to a generic CRM

• inefficient property publishing flow

• poor mobile usability

• difficulty managing large inventories

• limited lead management tools

Designing for scale

Real estate agents often manage 30–100+ listings simultaneously.

The interface needed to support efficient navigation and organization of large property inventories.

The solution centered on:

• card-based listing management
• advanced filtering tools
• quick access to property actions

Publishing Workflow

Publishing a property required agents to provide multiple details including images, location, and property attributes.

The flow was redesigned to guide agents step by step and reduce friction during listing creation.

Key features

  • Role-based permissions: Managers could assign listings to agents within agencies.
  • Listing quality indicator: Agents received feedback on how to improve their listings.
  • Listing previe: Agents could preview how listings would appear on the marketplace.
  • Lead management: Agents could track interested buyers and add notes for follow-up.

Usability testing

Interactive prototypes were tested with real estate agents throughout the design process.

Over 30 usability sessions helped refine workflows and improve usability.

The MVP delivered a dedicated CRM tailored to real estate workflows, improving how agents publish, manage, and optimize property listings.

Key learnings

Designing operational tools requires balancing efficiency, scalability, and clarity.

Continuous usability testing helped ensure the product aligned with real agent workflows.
